REKKI OrderAI: Transforming Order Processing at Capital Seafoods

Capital Seafoods, a specialist London-based seafood supplier, implemented REKKI's OrderAI and transformed their traditional business while preserving what makes them special - an unwavering commitment to quality.



A Business Built on Tradition

Capital Seafood, led by Director Jack Buckley, has deep roots in London's seafood industry. 

"I've been in the business now since I was 15. I'm 35, so 20 years," Jack says. The company itself was established nearly 14 years ago, building on the foundation laid by Jack's grandparents' previous venture, Southbank Fish.

Before officially partnering with REKKI, Capital Seafoods had already noticed our platform's impact. "We've always liked REKKI, actually, it's always been easy," he notes. "So before we knew you guys, customers that made orders through REKKI were great for us because it was simple, straightforward, no problem."


The Challenge: A Time-Intensive Traditional Process

Capital Seafood's original order processing system, while effective, demanded significant time and resources. "We were very much behind the times. Old school," Jack explains. Their nightly routine involved night staff manually writing every order from emails and voicemails, pricing each item by hand, and creating sticky notes for different prep requirements.

This meticulous system gave them quality control but at a cost. "Two hours to write them out," Jack shares, "and then another hour to do the yellow stickies." An additional hour was needed each morning for data entry into their Sage system.

Despite recognising this inefficiency, Jack initially hesitated to change their approach. "If it's not broken, why fix it? That type of attitude," he reflects.  I'm fairly young, so I should have been more open to it. But really, I just was so focused on getting it right."



Understanding Their Unique Needs

When Capital Seafoods officially partnered with REKKI in December, our implementation process began with thorough observation. Our CEO Ronen visited at 1am to see their operation first-hand, a crucial step in adapting our solution to their specific requirements.

"When Ronen came in, he saw the whole production," Jack explains. "He saw when I explained that sticky goes to this man, he saw that man, and he saw what he did and where it went and how we got things done, which I think was great."

Unlike many food suppliers, Capital Seafoods deals with tremendous product variety. Each fish type has numerous specifications. "Even just a seabass could have 15 different options of specs, cuts, sizes," notes Jack. Instead of writing dozens of individual sticky notes, OrderAI now generates consolidated reports organised by fish type and preparation requirements. The sticky notes are gone.



Transformative Results

The implementation of REKKI OrderAI has dramatically changed Capital Seafoods' daily operations. "We save probably four or five hours a night from it," Jack reports.

Now, approximately 50% of their orders arrive pre-processed in their system. "We don't have to write out the order. We haven't had to write our stickies. We haven't had to spend an hour entering them onto our Sage," Buckley explains. For the remaining orders, "you're talking 15 minutes to get the rest of the orders through."

REKKI now automatically processes over 2,000 orders each month for Capital Seafood, maintaining an impressive error rate of just 0.003% – virtually eliminating the mistakes that previously required costly redeliveries.

Crucially, we maintained their ability to inspect every product personally. "My thing was, I still want to see every item of fish that goes out the door," Jack emphasised. Our solution preserves this quality control while eliminating the administrative burden.


Partnership Beyond Implementation

At REKKI, we believe implementation is just the beginning of our relationship with suppliers. Our ongoing support has been particularly meaningful to Capital Seafoods.

"What's great about your whole team is that they're there to help even afterwards, which I wasn't expecting," Jack shares. "I almost thought that I would say, 'Oh, can you help me?' and your team would say, 'No, job done. Integration over, that's your problem now,' but it's not like that."


Looking to the Future

With the time saved through REKKI Connect, Capital Seafoods is exploring new opportunities for growth. "We've never had a salesman today, really never," Jack notes, suggesting that's one area where they might redirect resources.

Today, the majority of orders flow automatically from email through REKKI OrderAI and into Sage, with only the occasional late-night order being verified by Jack. As Jack sums up their experience: "We're impressed with the system. It's really, really, really helped us."
